Which free tool should I use for scheduling and appointments?

Calendly (free plan)

Calendly lets customers choose their appointment directly from a link, without calling or messaging. You configure your availability once, share the link (via WhatsApp, on your Instagram profile or on your website) and appointments come in on their own.

The free plan includes one appointment type, automatic email confirmations and Google Calendar sync. For most local businesses, that’s enough.

Google Calendar with bookings

If you already use Gmail, Google Calendar has an “Appointments” feature that lets you create a public booking page. Customers see your availability and book a slot directly. No additional cost.

Fresha (for beauty and wellness)

For hair salons, beauty centres, spas and businesses in the health and wellness sector, Fresha is the most complete tool and it’s free. It includes scheduling, automatic reminders to customers, per-customer service history and an integrated point of sale. The only commission is a small percentage on online payments, which is optional.

Booksy

Similar to Fresha, aimed at hair salons and barbershops. It has a basic free plan with online scheduling and automatic reminders.


Which free tool should I use to communicate with customers?

WhatsApp Business (free)

The most widely used communication tool in local businesses across Spain and Latin America. It includes a business profile with opening hours and location, a product or service catalogue, automatic away and welcome messages, and quick replies for frequently asked questions.

Google Business Profile (free)

The Google listing that appears when someone searches for your business. It lets you publish your opening hours, address, photos, services and manage reviews. It’s free and is one of the tools with the greatest impact on local visibility.

Mailchimp (free plan up to 500 contacts)

If you want to email your customers occasionally (news, seasonal promotions, reminders), Mailchimp has a free plan for up to 500 contacts and 1,000 emails per month. The interface is visual and requires no technical knowledge.


How can I take card payments without a bank terminal?

SumUp

A physical card reader that connects to your phone via Bluetooth. No monthly fee, just a 1.69% commission per transaction. It’s the most common option among freelancers and local businesses who want to accept card payments without signing up for a bank terminal.

Square

Similar to SumUp. The basic reader is free with registration. 1.75% commission per in-person transaction. Also includes a digital point of sale with basic free inventory management.

Bizum (for businesses)

Bizum for Business lets you receive payments directly into your business bank account from any customer with Bizum enabled. No fees for the receiver at most banks. Ideal for informal payments or small amounts without needing a card terminal.


Which free software should I use for invoicing?

Holded (free plan)

Invoicing software with a free plan for up to 10 documents per month. Lets you create invoices, quotes and delivery notes with your logo, send them by email and keep a basic record of what’s been paid and what’s outstanding.

Invoice Simple

Mobile app for creating invoices from your phone. Free for the first invoices. Useful for businesses that invoice a few clients per month and want something more professional than Word.

Suma Factura

A Spanish invoicing tool adapted to local tax requirements. Has a free plan for freelancers with few invoices per month. Includes templates, email sending and export for the VAT model 303.


Tools for social media and marketing

Canva (free plan)

A graphic design tool with no design knowledge required. Lets you create Instagram posts, stories, posters, menus, cards and any visual material using professional templates. The free plan is more than enough for most local businesses.

Meta Business Suite (free)

Meta’s official app for managing Facebook and Instagram from your phone. Lets you schedule posts, view stats, reply to messages from both platforms in one place and manage ads if you ever decide to invest in advertising.

Buffer (free plan for 3 channels)

If you post on several networks and want to schedule content in advance, Buffer lets you manage up to 3 channels and schedule 10 posts per channel for free. Useful for preparing a week’s worth of content in a single session.


How to choose where to start

The list may seem long, but you don’t need to implement everything at once. The simplest way to choose where to start is to ask yourself: which of these categories is causing me the most problems or taking up the most time right now?

If the answer is scheduling and appointments, start with Calendly or Fresha. If it’s communicating with customers outside of hours, start with WhatsApp Business. If it’s invoicing, start with Holded or Invoice Simple.
